Export from Sage Pastel
From Pastel (Partner, Xpress or 50cloud) you print a few reports to Excel: your trial balance on the day before your start date, the age analysis of customers and suppliers, and your lists.
1. What it must include
- The trial balance for the period that ends the day before your start date
- The customer age analysis, detailed (one line per invoice)
- The supplier age analysis, detailed (if you owe suppliers money)
- The customer, supplier and inventory lists (File › Export)
- Do not print to PDF or paper: choose Excel
- Do not include last year's closed periods
- Do not change the files in Excel before you upload them

3. The file you get
The names you give each file when Pastel asks (for example Trial Balance.csv)
Give each file a clear name. DIANO recognises a file by its columns, not by its name.
4. Where it lands
On a laptop: The folder Pastel asks you to choose. Write it down: Documents or Desktop is easiest.
On a phone: Pastel runs on a computer. Copy the files to a USB stick, or e-mail them to yourself and save them on your phone.
5. Check before you upload
- The company name on each report is yours
- The trial balance period ends the day before your start date
- The trial balance totals are the same
- Every file ends in .xlsx, .xls or .csv
6. Common problems
Pastel prints only to paper
In the print screen, choose the output Excel (or File) instead of Printer.
My age analysis shows totals only
Choose the detailed layout: DIANO needs one line per invoice.
I am not sure which period is the right one
Your start date is the 1st of a month: choose the period that ends on the last day of the month before.
7. The best time to move
The best time to move is just after you finish a month: your VAT return (and payroll, if you pay staff) for last month is done, and your start date is the 1st of this month.
On the day:
- Make the backup or the reports on the day you move, not earlier.
- From your start date, capture new invoices and payments in DIANO only. Stop capturing in the old program.
- Keep the old program for a few months so you can look things up. Do not delete it.
