Export from Sage Business Cloud Accounting
From Sage you save a few files: your lists (customers, suppliers, items, accounts), your trial balance on the day before your start date, and the invoices not yet paid. DIANO reads them and checks every total before anything changes.
1. What it must include
- Customers, suppliers, items and the chart of accounts (Company › Export Data)
- The trial balance for the day before your start date
- Customers' unpaid invoices, one line per invoice
- Suppliers' unpaid invoices (if you owe any supplier money)
- Do not save the reports as PDF: DIANO needs Excel or CSV
- Do not change the files in Excel before you upload them
- Old paid invoices are not needed: DIANO starts from the balances

3. The file you get
Customers.csv, Suppliers.csv, Items.csv, Accounts.csv, and the reports (for example TrialBalance.xlsx)
The report files' names can differ: DIANO recognises a file by its columns, not by its name. You can also put all the files in one .zip.
4. Where it lands
On a laptop: Your Downloads folder.
On a phone: iPhone: Files app › Browse › iCloud Drive › Downloads. Android: Files app › Downloads (or Chrome › ⋮ › Downloads).
5. Check before you upload
- The company name at the top of each report is yours
- The trial balance date is the day before your start date
- The trial balance's Debit and Credit totals are the same
- Every file ends in .csv or .xlsx (not .pdf)
6. Common problems
My Sage export has no transactions
That is right: Export Data gives lists only. Your balances come from the trial balance, and what customers still owe comes from the Days Outstanding report.
The CSV starts with a line "sep=,"
Leave it as it is. DIANO knows Sage puts that line first.
I only see PDF when I export
Look for the Export or Send button at the top right of the report, after View Report: it offers Excel and CSV.
The trial balance does not balance
Run it again with all accounts shown and the right date. If the totals still differ, ask your accountant before you move.
I can't find Export Data
Only the company's administrator in Sage sees Company › Export Data. Ask them, or ask Sage to give you that right.
7. The best time to move
The best time to move is just after you finish a month: your VAT return (and payroll, if you pay staff) for last month is done, and your start date is the 1st of this month.
On the day:
- Make the backup or the reports on the day you move, not earlier.
- From your start date, capture new invoices and payments in DIANO only. Stop capturing in the old program.
- Keep the old program for a few months so you can look things up. Do not delete it.
